The problem

Where change orders leak money

Every unpaid change order dies the same four deaths. You’ve seen all of them.

🤝

The verbal “go ahead”

The work happens, the paper never does — and months later it’s a five-figure argument about what was authorized.

📧

The buried email

The CO went out three reply-alls ago as version 2 of 4. Nobody agrees which number is current, and the approval clock silently stops.

🧮

The memory-priced change

Under schedule pressure the change gets priced from memory. Missed equipment, missed markup — the margin is gone before it’s approved.

📉

The log that doesn’t exist

At closeout, original contract plus approved changes has to tie out. If the log is stale, closeout becomes forensic accounting.

Features

Everything a change order needs to get paid

🧾

Line-item pricing

Labor, material, equipment, subcontract, markup — totals calculate themselves, markup set per CO to match your contract. Itemized COs get approved faster.

✍️

Routing & e-signature

One link, one current document, signed from any device — time-stamped and attributed. No attachments, no version confusion, no chasing.

👁️

Exposure at a glance

Every CO carries a status across every job. The sum of your pending COs is unapproved money at risk — now you can actually see it.

📒

Automatic CO log

Every change order lands in a live log with running totals that reconcile against the contract continuously. Closeout becomes a report.

🗂️

Audit trail + PDF export

Creation, edits, routing, approval — all logged. Export any CO or the whole log as a clean PDF for closeout or a dispute file.

🔗

Connected to your documents

The RFI that triggered the change, the revised drawing, and the CO all reference each other — one platform, one record.

Keaton Bandhoesingh

Built by a contractor, not a software company. Keaton Bandhoesingh, Founder — preconstruction manager across three construction firms with $100M+ directly awarded in a 7-year career. Planroom started because Keaton was living this exact problem: chasing a change order chain with a GC client and fighting to get backup documentation to the owner. Read the story →

A real change, priced in minutes

Mid-project, the engineer revises grid line D and adds steel. Here’s the CO, itemized — the owner approves steel they can see on a drawing, not a mystery number:

Questions

Good to know

What is change order management software?

Software that runs the full lifecycle of a construction change order — pricing it from line items, routing it for approval and e-signature, tracking its status, and keeping every CO in a project log with an audit trail. One system instead of a Word form, an Excel price sheet, an email chain, and a log nobody updates.

How much does Planroom cost?

$149 per month, billed monthly, published right here. Every feature, unlimited change orders, no setup fee, no per-seat pricing, no annual contract. Start with no credit card and no sales call.

Is a change order legally binding?

When properly executed — in writing, signed by parties with authority under the contract — a change order amends the contract itself. That’s why signatures and documentation matter. (General information, not legal advice; your contract’s changes clause governs.)

What’s a typical markup on a change order?

Commonly in the 10–20% range for overhead and profit, and many contracts cap it explicitly. Planroom lets you set markup per change order so the math always matches your contract terms.

Do I need software, or is the AIA G701 form enough?

G701 is a fine form — but it doesn’t price the change, chase the signature, show what’s outstanding across a project, or keep the log that ties out at closeout. Software manages the lifecycle; the form is just the paper at the end of it.

Do GCs and subs both use Planroom?

Yes — usually for mirror-image reasons. GCs manage COs in two directions and need exposure visible across every job. Subs need extra scope approved before the work happens so they don’t eat it.

Can I try it before paying?

Yes. Start with no credit card and no sales call; pay $149/month when it’s earning its keep. Cancel anytime.
